Refund Policy — Docloom

1. Overview
This Refund Policy explains how refunds are handled for paid subscriptions to Docloom (the "Service"). Payments are processed by Dodo Payments, which acts as the merchant of record for all transactions. This means Dodo Payments' own refund and chargeback procedures also apply alongside this policy.
2. Subscription Plans Covered
This policy applies to all paid subscription tiers offered by Docloom, including but not limited to the Starter and Team plans, billed on a recurring monthly basis.
3. Free Trial / Free Tier
Docloom offers a Free tier with limited daily usage quotas at no cost. No payment is collected for the Free tier, so no refund is applicable to it.
4. Refund Eligibility
4.1 Within the First 7 Days
If you are unsatisfied with a paid plan within the first 7 days of your initial subscription purchase, you may request a full refund, no questions asked, provided:
- This is your first subscription purchase (not a renewal), and
- You have not substantially exceeded the usage quota of the Free tier in a way that indicates the paid plan was used primarily to extract value before requesting a refund.
4.2 Billing Errors
If you were charged in error — for example, a duplicate charge, a charge after you cancelled, or a charge that does not match your selected plan — you are entitled to a full refund of the erroneous charge, regardless of the 7-day window above.
4.3 Renewal Charges
Recurring renewal charges (i.e., not your first payment) are generally not eligible for a refund once the new billing period has begun, except where required by applicable law or where the renewal itself resulted from a billing error as described in Section 4.2. We encourage you to cancel your subscription before the renewal date if you do not wish to be billed for the next cycle.
4.4 Partial Usage
We do not prorate or provide partial refunds for unused days within a billing period following a voluntary mid-cycle cancellation, except where required by applicable consumer protection law.
5. How to Request a Refund
To request a refund, contact us at the email listed in Section 8 with:
- The email address associated with your Docloom account.
- The date of the charge in question.
- A brief explanation of the reason for your request.
Refund requests are typically reviewed and responded to within 5 business days. Approved refunds are issued to the original payment method via Dodo Payments and may take additional time to appear on your statement, depending on your bank or card issuer.
6. Cancellation
Cancelling your subscription stops future billing but does not, by itself, trigger a refund for the current billing period unless your cancellation falls within the eligibility criteria in Section 4. You may continue to use your current plan's features until the end of the billing period you've already paid for.
7. Chargebacks
We ask that you contact us directly to resolve billing concerns before initiating a chargeback with your card issuer or bank. Unwarranted chargebacks may result in suspension of your account while the dispute is resolved, in accordance with our Terms and Conditions.
8. Statutory Rights
Nothing in this Refund Policy limits any statutory refund or cancellation rights you may have under applicable consumer protection law in your jurisdiction (for example, certain EU/UK distance-selling regulations, or other local consumer rights that cannot be waived by contract).
9. Changes to This Policy
We may update this Refund Policy from time to time. Material changes will be reflected in the "Last Updated" date above and, where required, communicated to active subscribers in advance of taking effect.
